Confidentiality and Privacy Policy 

Catalyst for Change (C4C) is dedicated to creating a positive impact on Vietnamese children and women through educational volunteerism, cultural immersion, and empowerment. Our mission is to empower marginalized communities by building knowledge, skills, confidence, and networks, breaking barriers of inequality through human connection and inclusive access to transformative opportunities. C4C is committed to safeguarding the confidentiality and privacy of all individuals associated with our programs, including staff, volunteers, partners, and beneficiaries. This Confidentiality and Privacy Policy outlines the measures we take to protect sensitive information and ensure that personal data is handled with the utmost care and respect.

A copy of this Confidentiality and Privacy Policy will be kept and regularly updated by our board, ensuring that it remains aligned with C4C’s mission, legal obligations, and best practices.

Catalyst for Change (C4C) is committed to:

  • Protecting the confidentiality of all personal and sensitive information related to staff, volunteers, partners, and beneficiaries.

  • Ensuring that all personal data is collected, stored, and processed in compliance with relevant data protection laws and regulations.

  • Promoting a culture of privacy and confidentiality within C4C, where all individuals understand their responsibilities in safeguarding information.

  • Responding promptly and effectively to any breaches of confidentiality or privacy concerns.

Definitions

  • Confidential Information: Any information that is not publicly available and is related to C4C’s operations, staff, volunteers, partners, or beneficiaries. This includes personal data, financial records, internal communications, and project plans.

  • Privacy: The right of individuals to control the collection, storage, and sharing of their personal information

Aims

  • To provide activities that help children safely develop from childhood into adulthood and support their growth.

  • To enable children to express themselves freely.

  • To assist children in integrating into both the global and local community.

  • To help children appreciate the diversity of their cultures.

  • To create an inclusive environment that considers the needs of children with disabilities.

Responsibilities

  • Board: Responsible for implementing and overseeing the Confidentiality and Privacy Policy, providing support and training to staff and volunteers, and ensuring compliance with data protection laws.

  • Employees and Volunteers: Must adhere to this policy, attend privacy and data protection training, and report any concerns or breaches to the Privacy Officer.

  • Partners: Any organizations or individuals partnering with C4C must agree to comply with this Confidentiality and Privacy Policy and demonstrate their commitment to protecting sensitive information.

Code of Conduct

  • Respect and Dignity: All individuals involved in C4C’s programs must be treated with respect and dignity. Discriminatory, abusive, or exploitative behavior will not be tolerated.

  • Safe Interaction: Employees and volunteers must ensure that their interactions with children, women, and vulnerable groups are safe and appropriate. This includes avoiding situations where abuse or exploitation could occur.

  • Confidentiality: Any information regarding safeguarding concerns must be handled with the utmost confidentiality and shared only with those who need to know in order to take appropriate action.

  • Mandatory Reporting: All employees and volunteers are required to report any safeguarding concerns or incidents immediately to the Safeguarding Representative.

Procedures

  • Reporting Safeguarding Concerns: Any safeguarding concerns must be reported immediately to the Safeguarding Representative, who will assess the situation and take appropriate action. This may include involving external authorities if necessary.

  •  Responding to Safeguarding Incidents: In the event of a safeguarding incident, the Safeguarding Representative will lead the response, ensuring that the affected individuals receive the necessary support and protection. All actions will be documented, and a formal investigation will be conducted if required.

  • Training and Awareness: All employees, volunteers, and partners must receive safeguarding training as part of their onboarding process. Regular refresher training will also be provided to ensure ongoing awareness and compliance.

  • Risk Assessment: Safeguarding risks must be assessed regularly as part of program planning and implementation. This includes identifying potential risks to vulnerable groups and implementing measures to mitigate these risks.

Reporting and Violations

  • Reporting: Any breaches of this policy or safeguarding concerns must be reported immediately to the Safeguarding Representative (board@catalystforchangevietnam.com). All reports will be handled confidentially and sensitively.

  • Disciplinary Action: Violations of the Safeguarding Policy may result in disciplinary action, including termination of employment or volunteer status, and may be reported to relevant authorities if necessary.

This policy will be reviewed annually to ensure it remains relevant and effective. Updates will be made as necessary to reflect changes in safeguarding practices, legal requirements, and organizational needs.
